Minutes
October 3, 2011
Present: Tim
Byer, Robert Clausen, Cindy Curley, Becky Gitthens, Pastor Glenn Heinsch, Pastor
Steve Vetter, Dick Wortham, Bob York, Liz Byer.
Absent: Margie Langston and Lori Andrews.
Pastor Glenn Heinsch opened the meeting in prayer at 7:03.
The group first discussed when the meeting was scheduled
for the Congregation to evaluate how the draft of the new constitution is
working. This meeting will be
Sunday, October 30, at 2:00 p.m. Dick
Wortham will call Wayne and Tim was asked to bring ideas on what this group has
experienced.
Tim shared Romans 12:4-6 which talks about how each of us
have special and unique gift we bring to the table.
Dick Wortham said there will be a change in the leadership
of missions.
Question One: Do we as a Board appoint the chair persons or
do the committee? (This is addressed
in the constitution on page 7, item 3b.) The answer is the committees do.
Each of the committes will meet and choose their committee leaders.
This name will be taken to the Elder Board and they will approve the
names. A policy and procedure
addition would be: If for some
reason there isn’t someone chosen within the group or there are more than one,
then the Ministry Board can step in and assist with the recommendation to the
Elders. Pastor
Steve was given the job to wordsmith this policy and procedure.
Question Two: The
Constitution says we will elect our own officers within the Ministry Board ie:
Chairperson, Vice Chairperson and Secretary.
It was suggested that the Secretary position at the staff level always be
the secretary for this board since he/she would have access to the calendar and
be in the communication loop. This
was agreed upon. Wayne Porter would need to be notified
of this change.
Question Three: Are there any changes needed within the
committees and how they are organized in each team.
Cindy Curley said she only has Breaktime, Dorcas Dinner, JOY Group, All
Church Dinners. The JOY Group seems
to be winding down with many of the seniors traveling and a few being in the
nursing home. Cindy is the only
person really on the Dorcas Dinner and we currently do not have anyone in All
Church Dinners. So really there’s
only Cindy, Sue and Scott to choose from for the next Team leader.
It was suggested to reorganize the committee’s a little
to help this group. It was
recommended to rename the Fellowship Team to Connection and Care Team and move
the Bread of Life, Funeral Dinners and Card Ministry into the Connection and
Care Group. Wayne Porter would need to be notified of
this change.
After the November 20 All Church Vision and Planning
Meeting where the draft of the constitution will be voted on to be permanent, we
will hold elections for each of the members of this Board (probably the end of
November or early December).
The process as outlined in the Constitution is this:
Committees will meet and chose a Committee leader.
These names will be given to the Elder Board for approval. Once approved
then all the Committee Leaders in each Ministry Team will meet and select a
member to be their Team Leader and Ministry Board Representative. Tim
asked that everyone currently serving on the Interim Ministry Board to
prayerfully consider if they would like to remain on the board or not so they
could be ready with their answers during this process.
Margie Langston had told Tim that she did not want to continue on the
Board and neither did Cindy Curley. Dick
Wortham does not know if he will be eligible or not. His position depends on how
things turn out with the Missions Team and if he becomes a Committee Leader
there since each Board Member must be a Leader of a Committee.
Bob York reported on the progress of the 2012 FBC Budget.
The Finance Team projects the income for 2011 will be approximately
$416,500. They use this
information to find a starting place for the 2012 budget which they are hoping
to be approximately $420,000. However,
budget requests have come in at $450,500. The
Finance Team will need to find a reduction of approximately $30,500.
When asked how the Ministry Board could help them, they answered,
“Prayer”. The Board discussed
possibly starting earlier next year to meet with their individual committees and
help them to prioritize their budget requests so if a reduction was needed, they
could be more prepared to help with deciding where cuts could happen easiest.
The next Elders’ Meeting is scheduled for October 13th.
It was requested that each Team Leader visit with
their committee leaders and see if they could reduce their budget request and
get this info back to Robert Clausen.
The calendar for the remaining months of 2011 and all of
2012 were passed out. Each
Team Leader is to visit with their committee leaders to see if their activities
and events are on the calendar through 2012 as best know about today and to pass
along the request to always call the office to get an event on the calendar as
soon as it is known. The building is
being used by many and scheduling is becoming more challenging.
Christmas Plans: After
much discussion, Pastor Glenn was given the task of contacting the High School
to see if the DHS Auditorium would be available on December 18 for our Christmas
Service. (The stage at the church
was scheduled to be under construction during that Sunday so the Christmas
Service could not be in the church building.) If
the High School is not available other options were discussed.
There will not be any Sunday School on December 18 or 25.
On December 25, there will be only one service at the church at 11:15.
Sunday School teachers need to made aware of
these two dates. Glenn also will
talk to Misty Langer about getting a nursery for infants set up for December 18
at the High School.
Round Robin Time:
Cindy Curley. She
is in need of a Committee Leader for the All Church Dinners and it appears that
JOY Breakfast may be winding down as stated above.
Bob York: No
news on Buildings and Grounds. Finance
Committee is working on the budget. Since
Tim Byer is on the Buildings and Grounds Committee he shared there is no
contractor for the bathroom remodel yet but they were working on it and he is
the point person for gathering information on the new worship center project.
Tim asked that everyone please check with your
committees and see if they have any input or requests on what a new worship
center would need.
Dick Wortham: He will be having an Outreach Team meeting on
November 17 at 7:00 to visit with his committees.
Ladies Night Out needs a Committee Leader.
MOPS has grown from 40 to 60 women. Harvest Party plans are underway.
A VBS date has not been set for yet but it will be in June again.
Outdoor Ministry is a new committee and they turned in a large budget
request. Parade Day went well and is
on track for next year. New Events
(Evangelism) is also a new Committee for Dick they also turned in a substantial
budget request. Missions sent in a
large request also and their committee is in a state of flux with leaders etc.
Couples Night out is going very well. Wayne
Porter needs to be notified that two new committees have been added to Dick’s
Outreach Team as stated above.
Pastor Glenn Heinsch: Glenn stated that there had been
another unsolicited, anonymous donation for the piano purchase.
The ladies will be going down to Colorado the end of this week to look at
more pianos. They felt with the
option of a newer larger worship center in the future, they wanted a little
bigger piano.
Robert Clausen: Robert said the Elders appreciate what this
group is doing. They are currently
looking for more Elders as Robert and Frank Eathorne will have maxed out their
service time on the Elder Board and will be off as of the end of December.
The Search Team has done a few more skype interviews and will be meeting
this coming Thursday to decide if they will pursue either of these men or move
forward with others. They have also
been working on budget issues with the Finance Committee and many family care
issues.
Becky Gitthens: Becky said we are still in need of
Children’s Sunday School Teachers and back up teachers and also a leader for
Jr. Church for 1st Service.
Pastor Steve Vetter: Steve said he is currently working on
and praying for a new staff member. He
is also part of the budget process and
has been counseling many families in crisis and many marriages in crisis.
He also talked about MOPS and how they are growing and the current
concern over parking during their weekday meetings and safety for the all the
moms and children coming.
Tim Byer: He
had already talked about the Building and Grounds information so for the History
Committee he asked that if everyone would be conscious to take pictures at any
of the FBC events and get them to Pat Whiting or to the office. She has not been
getting information for the historical record.
One of the items for the agenda for next month’s meeting:
Please contact your committees to see if they
feel they have enough help and if every position is filled.
The next Ministry Board meeting is scheduled for November 7
at 7:00 p.m.
