Ministry Board Meeting
February 6, 2012
Minutes

 

The meeting was started at 7:05.  Pastor Steve led the group in prayer.  

In attendance:  Tim Byer, Cindy Curley, Becky Gitthens, Pastor Glenn Heinsch,  Barb Martin, Pastor Steve Vetter, Dick Wortham, Bob York, Liz Byer  

Absent:  Lori Andrews  

TV Update:  Pastor Glenn has been busy getting the large screen TV’s installed in the Fellowship Hall and the Office Conference Room.  Thanks Glenn!  

We still need Ministry Board Leaders for the Worship Committee, Outreach Committee and Service Committee.  There is also a need for an Elder Representative. The Elders have been assigned the job of appointing leaders for these positions.  The suggestion was made that possibly the ‘Elders in Training’ group would be a pool to draw from for Team Leaders.  Maybe these appointments could be considered by the Elders.  

Pastor Steve asked why people are not willing to step up to these position.  The answer seems to be that most of the people who are already Team Leaders are wearing many other hats, and doing many other jobs as well.  They just can’t take on one more job.  We need more people who have the passion and vision to multiply ministry.  Becky Gitthens said they had good luck just taking the phone directory and calling people rather than always asking the same people to do more.  She said they found some “hidden gems” in that process.  

Update of other Teams:  There is no more Youth Worship.  This circle should be deleted from the flow chart.  The youth have just been folded into the adult worship and this is working quite well.   Should  the J.O.Y. Breakfast circle stay on the flow chart?   There are some people talking about taking this one over and starting again so this will remain on the flow chart.

Barb Martin was welcomed into the group. She will be the Leader for the Connection and Care Team.   

There was a long discussion about how to communicate in today’s world.  Many Facebook options were discussed.  Liz Byer was given the assignment to learn the best way to set up a facebook account so the population is limited to only those on certain committees.  A demo will be shown at the next meeting.  

Tim Byer asked if the group should vote today on Chairman for the Ministry Board or wait until the other three positions are filled?  It was decided to wait until the next meeting.  This will give the Elder Board two meetings in which to appoint Leaders for the vacant positions.  

There will be a New Members Luncheon on Sunday, February 19.  Other ideas were discussed about doing  the next new members event during Sunday School and serving cookies with the coffee.   

Pastor Steve said he sees the main issues for Ministry Board are cutting edge questions on how to keep us effective.  He wishes it was easier but wanted to be sure that no one was getting discouraged.  We are much more effective than we were four years ago.  It is just not a quick a process.  

Pastor Glenn Heinsch said he is still learning how to fit in to the Ministry Board since he is a main player in many of the groups represented but he is at the table as a staff member.  

The question was raised that if someone had a problem with something how would they know who to communicate with?  Pastor Steve said the staff will work on a page in the bulletin with that information.  

Steve asked Becky Gitthens how the women’s team was doing with the organization of the ministry board.  She said over all it was positive.

Pastor Glenn had several ‘taboo’ items to discuss.
     1)     
 Library.  What is its purpose, vision, goal?  Not many people use it. We don’t really have the space anymore more for the books or boxes of books and they are all very outdated.   
            All groups are to be asked for their input on what to do with the library.
 
     2)     
Old Bible out by the coffee:  The group told Glenn to talk with Pat Whiting about it.
     3)     
Pews in the Fellowship Hall.  Space is becoming so limited in the Fellowship Hall, so Glenn was wondering why we had the three old pews in there?  He was told that was the decision
           made with the chairs were purchased.   Buildings and Grounds will discuss this at their next meeting.
     4)     
Old White Board in the Fellowship Hall:  Again, space being the issue and the board is not being used especially with the addition of the large screen tv in that room.  All groups are to
           be asked for their input on what to do with the old white board?  Anyone what or need it for their ministry?

5)      The old white ramps from the stage:  They are being stored in the table room, but there really isn’t a use for them and again storage space is a big issue.  Buildings and Grounds will discuss the ramps at their next meeting.  

It was also shared that the ladies have chosen the paint colors for the Worship Center and this will be taken to the Buildings and Grounds next meeting also.  

At our next meeting we are to ask the Buildings and Grounds representatives if their group talked about blinds for the Fellowship Hall windows.  

Round Robin:

     Bob York:  Said the budget was going well.  He asked for everyone to check with their committees to see if they are receiving his copies of the budget via email.  He also said that based on last year’s giving, 43% of all giving comes from 10 units or families.   Sixty-one tithing report letters were for giving of less than $500 for the year.    Another finance question was about who is paying for the paint for the Worship Center?  There are two bids being prepared for the work.

     Barb Martin and Cindy Curley:  There are no issues for their group.  Dick Wortham asked the ladies to be sure and tell Scott Kleemeyer and the “coffee guys” thanks for their work with the coffee. Everyone loves it!

     Becky Gitthens:  There has been good feedback on Small Groups, Bible Studies and Adult Sunday School Classes.  We could use more Small Group Leaders. 

    Dick Wortham: 
        The Outdoor Ministries is having some struggles. 
         Dick asked if the Couples Night Out was still going.  Pastor Glenn said yes. Numbers were lower but   
     he’d see how it went this month.

         Missions:  Will meet this next Sunday and are working on their Constitution.  There may be a  Missions   
    Conference in late April featuring Bill Bacheller and Jack Foster.  

         VBS : VBS is scheduled for June 11-15.

        MOPS:  MOPS have had a hard week with the loss of one of their members.  Dick will come along side and   
    give them a call to share his care and concern.

        Ladies Night Out:  Becky Gitthens said she will be calling ladies and getting that group together for their
   Spring Event.  There isn’t a specific leader for this group but they function pretty well as they are.

        A Leader for the Outreach Ministry Board is needed as Dick is now on the Elder Board and is the Leader for
   the Mission’s Team.

    Pastor Steve:  The Elders are working on getting Matt set.  They are working on prayer and also how they can support the Buildings and Grounds Team and Tim Byer for the new building information process.

    Tim Byer:  Tim said he is working on getting the powerpoint set up for the next business meeting to show what the group has learned during their info gathering process.  

The next meeting was scheduled for March 12 at 7:00 p.m. in the Fellowship Hall.
