Ministry Board Meeting

Minutes

In attendance: Lori Andrews, Tim Byer, Robert Clausen, Cindy Curley, Pastor Glenn Heinsch,
Ed John (Dick Wortham’s Representative), Margie Langston, Roy Strock (Becky Gitthens’ Representative), Joni Walsh, Bob York and Liz Byer

The meeting was opened in prayer by Roy Strock at 7:01 p.m.

Joni Walsh shared about the Parade Day Outreach and some of the feedback she had received.  Everyone in the group affirmed her and the good job she is doing.  They cooked and served 500 hotdogs, gave away 500 flags and 300 bags of candy with the Gospel Message.   They would like some sort of music feature back next year.  While other menu items were discussed, everyone liked the hot dog idea best, and FBC has a reputation now of the ‘church that gives out hot dogs’.

Family Connection Luncheon went well.  Six families came.  Cindy Curley and Jennifer Strock were the hospitality leaders and a good lunch was served.  The next meeting like this will be February 19, 2012.  It was decided that greeters should be included in these meetings so they can recognize the new people easier also.

Pastor Steve had been asked to talk about ways to assimilate new people. Since he was out of town, Pastor Glenn shared the steps with the group.  There are five phases to the process:
1.      Loving, connecting environment (made to feel welcome from first visit on)
2.     
Connection made (letter, phone call)
3.     
In person contact  (lunch, dessert, coffee)
4.     
Invitation to join a small group
5.     
Invitation to membership service (possibly a membership class)

Each Board Member was to visit with their groups during the past month and get their feedback on how our facility is currently working or not working for their teams.   Some said our only advantage is our location with the disadvantage also being our location as there is no room to grow.  Some stated if we could buy all the surrounding properties and build a new facility, we could tear down the old facility and make more parking.  Some saw parking as a problem.  Some did not.  One group reported their team said whatever the leadership wants they would follow.   Some felt if a vision of a dollar amount and design could be put before the congregation it would be easier to get on board with.  The general consensus was that this decision falls to the Elder Board and the congregation is waiting for that leadership. Board Members who have not visited with their teams regarding this were asked to do so.

 Mr. York reminded everyone that budgets are due September 6.  (It had been September 5 but the offices will be closed so the date was moved to the 6th).  He had a copy of a sample budget for 2012 based on the new reorganization of the teams with the development of the Ministry Board.

 The round robin began where everyone can share news or concerns from their teams. 
Lori Andrews:  The piano has not been purchased yet.  The team is still looking for the best one with the best fit for FBC.   Glenn voiced that some of the miscommunication with this project had been hurtful but hopefully everyone understands that the money given for this project was from an anonymous donor.  No money came from the FBC budget for this piano.

 Bob York:  The faith money for this time of year has been dispersed.  Recipients of this faith money are: Buildings and Grounds, Missions and the Building Fund.   It was discussed that the Jr. Church Bathroom Remodel is still a go for this year.


Cindy Curley:  A person is still needed to head up the All Church Dinners which includes:  Lake Day, Natural Bridge Day, Easter, Christmas, Thanksgiving, New Visitor Luncheons, etc.   This person would just need to coordinate people to do these events…not do the work themselves.  Also a Coordinator for The Bread of Life Ministry is needed.  (Just someone to call the specific groups when a meal request is made known.)

 Roy Strock spoke on behalf of himself and Becky Gitthens.  Children’s SS has a need for more teachers. There are new adult SS Classes which were scheduled to start 9/11, but since it was learned that the Children’s SS Promotion will be during the Sunday School hour that same day, the adult classes will start 9/18 instead.   Women’s Bible Studies will start 9/15 and 9/20.  Men’s Bible Studies are continuing on their regular Monday morning schedule.   Actual rooms where the Sunday classes will be held are still being worked out.  The question was raised on what to call all the groups, Sunday School Classes, Small Groups, Growth Groups, etc.?  There is also a new nursery being started on 9/11 during the Sunday School hour so parents can attend these new classes.

 Margie Langston said she had no news to report.

Robert Clausen spoke on behalf of the Elder Board:  They are recruiting Roy Strock as an Elder and hoping to find a few more men as Robert will be stepping off after completing his six year term.  Frank Eathorne is at this same timeline also.  They are still trying to work out formulas and expenses for a new building as well as actual needs and requirements.  They are still trying to decide what is best. Ed John said he could get the Elder Board some resources that might help.  

Tim Byer spoke for the Ushers:  The green chairs are out of the Worship Center now and they are looking at purchasing a wheelchair.   Lori Andrews said that her dad might have one. 

Pastor Glenn gave an update for the Search Team:  There is a meeting tomorrow to talk about one of the young men who came for a personal interview.  He asked for prayer and discernment for that meeting.

The meeting was closed in prayer by Lori Andrews at 8:50 p.m.

The next meeting will be Monday, September 26 at 7:00 p.m.
